Job offer acceptance email template

Got the offer you wanted? Fill in the hiring manager, company, position and start date, add the salary if you want it on record, and copy a warm, professional acceptance email.

Private. Runs in your browser; nothing you type leaves your device.

The person who made you the offer, as you would greet them. For example: Dana, or Ms. Ruiz.

The title as it appears in the offer.

Optional. The pay as the offer states it, for example: $68,000 a year. Shown in the confirm-details version.

How to use it

  1. Fill in the offer details. Enter the hiring manager's name, the company, the job title and your start date exactly as the offer gives them. The email updates as you type, and nothing you enter leaves your browser.
  2. Choose how much to confirm. Use the standard version for a warm, simple yes. Use the confirm-details version to restate the start date and, if you add it, the salary, so both sides have the agreed terms in writing.
  3. Check it against the offer. Before you send, compare every detail with the written offer. If anything differs, ask about it first rather than accepting terms you have not agreed to.

Frequently asked questions

Should I accept a job offer by email?

An email is a good way to put your acceptance in writing, even if you have already said yes on the phone. It confirms your decision, records the start date, and gives the hiring manager a clear message to pass on to HR. If the company sends a contract or offer letter to sign, sign that too.

Should I mention salary in my acceptance email?

Restating the agreed salary is a sensible way to confirm the terms, especially if the offer was made verbally. Only include a figure you have actually agreed. If you still want to negotiate, do that before you accept, not in the acceptance email itself.

How quickly should I reply to a job offer?

Reply within a day or two to thank them, even if you need a little longer to decide. Once you have decided to accept, send the acceptance promptly so the company can stop interviewing and start preparing for your first day.

What should I do after accepting a job offer?

Watch for the contract and any forms to complete, and let other employers you are talking to know that you are withdrawing. If you are currently employed, give notice once the offer is confirmed in writing. The withdraw application and two weeks notice templates on Applystead can help.

Is my information sent anywhere?

No. This template runs in your browser: the email is filled in on this page as you type, and nothing you enter is sent to Applystead or anyone else. You copy the finished text and send it from your own email account.
