How to use it
- Fill in the offer details. Enter the hiring manager's name, the company and the job title. The email updates as you type, and nothing you enter leaves your browser.
- Pick the reason that fits. Choose accepted another offer, not the right fit, or compensation. Each version gives a short, honest reason without going into detail, and thanks the team for their time.
- Send it promptly. Once you have decided, copy the email and send it as a reply to the offer. A quick answer lets the company move on to other candidates and leaves a good impression.

Accepted another offer
Subject: Project Coordinator offer
Dear Dana,
Thank you very much for offering me the Project Coordinator position at Northwind Health, and for the time you and the team gave me during the interviews. After careful thought, I have decided to accept another offer that is a closer match for where I am in my career right now.
This was not an easy decision. I enjoyed meeting the team and learning about the work at Northwind Health, and I hope our paths cross again.
With thanks and best wishes,
Marcus Bell

Frequently asked questions
How do I decline a job offer politely?
Reply promptly, thank the hiring manager for the offer and for their time, give a brief reason, and wish the team well. Keep it short and warm. You do not need to justify your decision in detail, and a gracious note keeps the door open for the future.
Do I need to give a reason for declining?
No, but a short reason is courteous and helps the employer. Saying you accepted another offer, that the role is not the right fit, or that the pay does not work for you is enough. Avoid criticising the company, the offer or the process.
Can declining because of salary lead to a better offer?
Sometimes. The compensation version leaves room for the company to come back if their budget changes. If you would accept at a specific figure, it is usually better to negotiate before declining rather than inside a decline email.
Should I call or email to decline a job offer?
Email is fine, and it gives the hiring manager a clear written answer. If you built a close relationship during the process, a short call followed by this email is a thoughtful touch.
Is my information sent anywhere?
No. This template runs in your browser: the email is filled in on this page as you type, and nothing you enter is sent to Applystead or anyone else. You copy the finished text and send it from your own email account.
