Interview follow-up email template

Heard nothing since your interview? Fill in the interviewer, role, company and interview date, pick how far along you are, and copy a short, courteous follow-up email you can send as it is.

Private. Runs in your browser; nothing you type leaves your device.

The name you greet them by. For example: Dana, or Ms. Ruiz.

The role you interviewed for, as the posting names it.

How to use it

  1. Fill in the details. Enter the interviewer's name, the job title, the company and the day you interviewed. The email updates as you type, and nothing you enter leaves your browser.
  2. Pick the right follow-up. Use the polite version about a week after the date you were told to expect news, the check-in a week after that, and the final note when you are ready to move on.
  3. Copy, read and send. Copy the email into your mail app, reply in the same thread as your last message if you have one, read it once more and send it.

Polite first follow-up

Subject: Following up on the Customer Success Manager interview

Hi Dana,

I hope you are well. I wanted to follow up on my interview for the Customer Success Manager position on October 6, 2026. I enjoyed learning more about the team and the work at Northwind Health, and I am still very interested in the role.

Could you let me know whether there is any update on your timeline? I am happy to share anything else that would help.

Thank you for your time,
Priya Nair

Frequently asked questions

When should I follow up after an interview if I have heard nothing?

If the interviewer gave you a date for a decision, wait until two or three working days after it. If they gave none, about a week after the interview is a reasonable time for a first follow-up. Send the thank-you note on the day of the interview itself; it is a separate message.

How many times should I follow up?

Two or three short messages spaced about a week apart are usually enough. The final version here closes the loop politely, so you can stop waiting and put your energy into other applications without burning the bridge.

Who should I send the follow-up email to?

Send it to the person who has been your main contact, usually the recruiter or the hiring manager who interviewed you. If you met several people, one email to your main contact is better than a message to every interviewer.

Is my information sent anywhere?

No. This template runs in your browser: the email is filled in on this page as you type, and nothing you enter is sent to Applystead or anyone else. You copy the finished text and send it from your own email account.
