Interview reschedule email template

Need to move an interview? Fill in the interviewer, role and original date, add the times you can do if you like, and copy a polite, brief email asking to reschedule without losing your place.

Private. Runs in your browser; nothing you type leaves your device.

The person who arranged the interview, as you would greet them. For example: Dana, or Ms. Ruiz.

The role you are interviewing for, as the invitation names it.

Optional. For example: Tuesday afternoon or Thursday morning next week.

How to use it

  1. Fill in the interview details. Enter the interviewer's name, the job title and the date you were booked for. The email updates as you type, and nothing you enter leaves your browser.
  2. Offer a few new times. Add two or three times you can genuinely make in the times field. Offering choices makes it easy for the interviewer to say yes. Leave it blank and the email simply asks them to suggest a time.
  3. Send it as early as you can. Pick the version that matches your reason, copy it and reply in the same thread as the invitation. The sooner you ask, the easier it is for the team to rearrange their day.

Scheduling conflict

Subject: Request to reschedule: Customer Success Manager interview on October 8, 2026

Hi Dana,

I am sorry, but a conflict has come up that I am unable to move, and I will not be able to attend our interview for the Customer Success Manager position on October 8, 2026. I apologize for the inconvenience.

I remain very interested in the role and would be grateful for the chance to meet at another time. I am available Tuesday afternoon or Thursday morning next week. I am happy to work around your schedule and the team's.

Thank you for your understanding,
Priya Nair

Frequently asked questions

Is it okay to reschedule a job interview?

Yes, if you have a genuine reason and ask politely. Clashes and illness happen, and an interviewer would usually rather move the meeting than talk to someone distracted or unwell. Ask once, give as much notice as you can, and make the new time easy to arrange.

How much notice should I give when rescheduling an interview?

As much as you can. As soon as you know you cannot make the time, send the email. If it is the same day, send the email and also call if you have a phone number, so the interviewer is not left waiting.

Do I have to give a reason for rescheduling?

A short, honest reason helps, but you do not need to go into detail. A clash you cannot move or feeling unwell is enough. The offer-times version gives no reason at all and focuses on suggesting new times, which suits situations you would rather keep private.

Should I suggest new times when I ask to reschedule?

It helps. Offering two or three specific windows, such as Tuesday afternoon or Thursday morning, lets the interviewer pick one in a single reply. Add them in the times field and they appear in every version of the email.

Is my information sent anywhere?

No. This template runs in your browser: the email is filled in on this page as you type, and nothing you enter is sent to Applystead or anyone else. You copy the finished text and send it from your own email account.
