Interview confirmation email template

Invited to an interview? Fill in the interviewer, role, company, date and time, pick phone, video or in-person, and copy a short confirmation email that also asks for the details you still need.

The role you are interviewing for, as the invitation names it.

Add the time zone if you and the interviewer are in different ones. For example: 10:30 a.m. Eastern.

How to use it

  1. Fill in the invitation details. Enter the interviewer's name, the job title, the company, and the date and time exactly as the invitation gives them. The email updates as you type, and nothing you enter leaves your browser.
  2. Pick the interview format. Choose phone, video or in-person. Each version confirms the time and asks for the one or two practical details that format needs, such as a meeting link or where to go on arrival.
  3. Reply in the same thread. Copy the email and send it as a reply to the invitation, so the interviewer sees it next to the original message. Aim to reply within a working day of being invited.

Do I need to confirm an interview by email?

It is good practice. A short confirmation shows you are organized, catches any mix-up over the date or time before it matters, and gives you a natural place to ask for a meeting link, a phone number or directions. It also leaves a written record you can check on the day.

How soon should I reply to an interview invitation?

Within a working day is a good aim, and the same day is better if you can manage it. A prompt reply shows you are keen, helps you keep the slot you were offered, and leaves time to sort out any clash with the date or time before the day arrives.

What should an interview confirmation email include?

Thank the interviewer, name the role, and restate the date and time so any mistake is spotted early. Then ask only for what you still need: the meeting link for a video call, who calls whom for a phone interview, or the address and who to ask for at an in-person interview.

What if the time they offered does not work for me?
