Recruiter reply templates

A recruiter reached out and you are not sure what to say? Fill in their name and company, add when you are free to talk if you like, and copy a polite reply that says yes, not now or no thanks.

Private. Runs in your browser; nothing you type leaves your device.

The name you greet them by. For example: Marcus.

The company hiring for the role, or the recruiter's agency.

Optional. For example: Tuesday or Thursday after 2 pm.

How to use it

  1. Fill in the details. Enter the recruiter's name and the company, plus when you are free to talk if you want a call. The reply updates as you type, and nothing you enter leaves your browser.
  2. Pick your answer. Choose interested if you want to hear more, not now if the timing is wrong but you want to stay in touch, and not interested if the role or company is not a fit.
  3. Reply where they wrote. Copy the text and reply in the same channel the recruiter used, whether that is email or a professional network message, ideally within a couple of days.

Subject: Re: Opportunity at Brightline Logistics

Hi Marcus,

Thank you for reaching out about the opportunity at Brightline Logistics. It sounds like a good match for my experience, and I would like to learn more.

Could you share more about the role, the team and the pay range? I am free to talk Tuesday or Thursday after 2 pm, if that suits you. I am happy to send an updated resume ahead of a call.

Best regards,
Priya Nair

Frequently asked questions

Should I reply to a recruiter if I am not interested?

A short, polite reply is worth it. It takes a minute, saves the recruiter from following up, and leaves a good impression. The same recruiter may contact you about a better fit later in your career.

What should I ask a recruiter before agreeing to a call?

It helps to know the job title, the company if they can share it, the location or remote arrangement and the rough pay range. Asking up front saves time for both of you if the role is clearly not a match.

How do I check a recruiter's message is genuine?

Look up the recruiter and the company independently, be wary of requests for money or personal documents before any interview, and do not click unexpected links. A job scam checker can help you spot common warning signs.

How quickly should I respond to a recruiter?

Within a day or two is courteous and keeps you in the running if you are interested. If you need time to think, a quick reply saying you will get back to them by a certain day is fine.

Is my information sent anywhere?

No. This template runs in your browser: the text is filled in on this page as you type, and nothing you enter is sent to Applystead or anyone else. You copy the finished text and use it from your own account.
